Automation Readiness Checklist

10 questions to see if your workflow is ready for automation. Answer honestly—there are no wrong answers.

  1. Is the process repeated regularly? (weekly, monthly, or per transaction) Automation pays off when the same steps happen often.
  2. Are the steps well-defined? Can you write them down? If it’s “it depends” every time, automation is harder.
  3. Do you use digital tools? QuickBooks, spreadsheets, email, CRMs. Automation connects systems—paper-heavy workflows need scanning first.
  4. Is data in a structured format? Invoices, statements, reports. Semi-structured (PDFs, Excel) works; fully manual doesn’t.
  5. Who owns the process? One person or a team? Clear ownership makes automation easier to implement and support.
  6. What breaks today? Manual errors, delays, missing files? Automation should fix specific pain points.
  7. What would “done” look like? Be specific: “Invoices matched and posted in 1 hour” vs “things run smoother.”
  8. Can you share one example? A sample invoice, statement, or report. We need to see the real data.
  9. Is there budget for a pilot? Start small—one workflow, one phase. Scale after it works.
  10. Are you open to change? Automation may require small process tweaks. Flexibility helps.
